A precise document request is easier to fulfill than a general request for “the latest paperwork.” Identify the product and the specific document you need.
Include enough information to match the item
- Brand and full product name.
- Flavor and format.
- Container size.
- Batch or lot code, if available.
- A clear package photo.
- The document or date field you are trying to confirm.
For a COA request, ask for the report corresponding to that product and batch. A recent document for another batch is not automatically a substitute.
Keep the response with the request
Save the supplied file or source URL together with the identifiers you provided. Record the date wording exactly as printed. If the supplier explains how an internal sample name maps to the product, retain that explanation too.
If the response does not resolve the mismatch, ask a focused follow-up rather than changing your record to make it appear complete. This process is about finding and identifying documents, not interpreting laboratory results.
Check available documents first, then submit a product-specific request for anything missing.
